Job Description
The major focus of this position will be to provide office administration/reception and clerical support for office staff. This role is expected to divide time between routine office administration such as greeting visitors or ordering supplies and more technical duties including invoice management or typing project proposals. Performs administrative tasks such as formatting, proofing, editing, copying, and binding documents that require coordination.
Responsibilities
- Greet and welcome guests and answer phones
- Office administration duties, maintaining a cleanly office, and ordering supplies
- Provide project administration support to Project Managers (PMs)
- Familiarity with construction AR/AP, Foundation is preferred
- Typing, formatting, proofing, editing, copying, and binding documents
- Organize and maintain physical and electronic project documents
- Assist Project Managers with printing, scanning, shipping/courier services, and office organization
- Prepare outgoing mail and correspondence, including e-mail, letters and transmittals
Requirement and Skills
- 3-5 years of similar experience
- Proficiency in Procore (project management software) and Foundation (construction accounting software) is strongly desired
- Superior verbal and written communication skills
- Highly organized with a strong attention to details
- High level of professionalism
- Intermediate to advanced skills in Office 365 (Outlook, Excel, Word, PowerPoint)
- Ability to work with minimal guidance; proactive, motivated self-starter.
